Overview
Processing fees allow you to pass some payment-processing costs on to members when they pay with an eligible credit card.
The processing fee is dynamic. During a sale, the payment method selected by the member or staff determines whether the fee applies. FLiiP updates the fee and the displayed total automatically when the payment method changes.
For instance, If a member changes their payment method during their contract, the processing fee may be added or removed from future payments depending on the new payment method. No manual adjustment is required.
This feature is available only for gyms using Adyen.
Important: Processing fees are not authorized in every country, province, state, or region. Requirements may vary depending on local laws, card-network rules, the acquirer, the payment processor, the card brand, the card product, and the payment channel.
Before you enable processing fees
Before activating this feature:
Confirm that your gym uses Adyen as its payment processor.
Confirm that processing fees are permitted where your gym operates.
Verify the maximum surcharge rate that applies to your business.
Confirm the disclosure requirements for your location and payment channels.
Check whether advance notification to Visa, Mastercard, your acquirer, or another payment-network participant is required.
Decide which member-facing labels, tax treatment, and ledger account you want to use.
Include the applicable fee and disclosure language in the member agreement where required.
The maximum permitted rate may be set or limited by:
Applicable laws or regulations.
Card-network rules.
The merchant discount rate or actual cost of accepting the card.
Acquirer or payment-processor requirements.
Regional or card-product restrictions.
Configure a processing fee
Go to Settings > Payment & Fees.
Open the Processing Fee section.
Enable Enable processing fee.
Enter the member-facing fee label in the available languages.
Configure the Ledger Account.
Select the applicable Taxes option.
Enter the Credit card surcharge percentage.
Review the compliance warning and save your changes.
The processing fee is percentage-based. A fixed amount is not supported.
The fee label is used on checkout screens, invoices, receipts, and other member-facing payment information.
Important: Enabling the setting in FLiiP does not confirm that the fee is legally permitted. The gym remains responsible for completing its own legal and compliance review before activating the feature.
How the processing fee is calculated
The fee applies to eligible credit card transactions processed through Adyen.
Debit cards and prepaid cards are exempt from the processing fee.
If FLiiP cannot determine whether the card is eligible, the payment is processed without a processing fee (may happen if you import credit card from another payment processor, on the first transaction)
The fee is calculated using the percentage configured by the Gym Owner.
Tips are excluded from the processing-fee calculation.

Dynamic payment-method behavior
The processing fee is recalculated automatically when the payment method changes.
For example:
When an eligible credit card is selected, FLiiP adds the processing fee and updates the total.
When the member switches to a debit card, prepaid card, direct debit, or another unsupported payment method, FLiiP removes the processing fee and updates the total.
When the card eligibility cannot be confirmed, FLiiP does not apply the fee.
For recurring payments, the eligibility of the payment method used for the payment determines whether the fee is applied.
The member or staff member does not need to manually add or remove the fee.
How the fee is displayed
During the sales process
When the payment method and card eligibility are known, the processing fee is displayed before the payment is confirmed.
The fee appears as a separate line so that the member or staff member can see:
The original transaction amount.
The processing fee.
Any applicable taxes.
The final amount to be charged.
On the contract, everything is displayed without the processing fee. Please add a general term to explain that a processing fee will be added if a credit card is used.
After the sales process
Past payments are displayed with or without the processing fee, depending on what happened
Schedule payments are never displayed with processing fee, same for sales projections. The reason is that, as the fee is dynamic, we can't tell in advance what will be the payment method for a specific payment
If applicable, the processing fee is displayed on the invoice
Terminal behavior
Terminal behavior depends on whether the Adyen terminal is connected to FLiiP.
Adyen terminal not connected to FLiiP (or not an Adyen terminal)
If the Adyen terminal is not connected to FLiiP, FLiiP cannot dynamically determine the card type or update the processing fee during the terminal transaction.
In this case, the gym is responsible for configuring the terminal and any surcharge rules by its own means, directly through its payment setup, Adyen account, acquirer, or payment processor.
Adyen terminal connected to FLiiP
If the Adyen terminal is connected to FLiiP, the terminal dynamically determines whether the processing fee applies based on the type of card inserted, tapped, or swiped by the member.
An eligible credit card can trigger the configured processing fee.
A debit card or prepaid card does not trigger the processing fee.
If the card type cannot be confirmed, the processing fee is not applied.
The terminal displays the applicable processing fee and updates the final amount dynamically.
The final amount is confirmed through the Adyen terminal payment flow.
The member or staff member does not need to manually calculate or add the fee.
