FLiiP e-signature provides a legally binding signature equivalent to a handwritten signature on paper. Members can sign membership and service contracts themselves through the self-serve experience on the web or mobile app. Admins can initiate the signing process from FLiiP and hand the member a device so they can review and sign the contract on the spot. If a waiver is attached to the membership or service, the member can sign both documents during the same process.
Step 1: Add e-signature tags to the contract template
Open the contract template in Automation list and add the appropriate e-signature tags for Membership and Service contracts exactly where the signature information should appear in the document.
Available tags are:
[e-signature] for the member’s signature
[e-signature-checkbox] for the signature consent checkbox
[e-signature-date] for the signature date
Place each tag in the correct location within the contract. For example, the signature tag should appear in the signature section at the end of the contract.
Step 2: Check the Applicable contract setting
Open the membership or service configuration and locate the existing Applicable contract setting. This existing setting controls whether a contract is created when the membership or service is sold or assigned.
When Applicable contract is set to Yes
Once e-signature is activated for your gym, the member will be asked to sign the contract.
The contract signature request replaces the standard contract-generation behavior.
When Applicable contract is set to No
The membership or service can be sold or assigned without an e-signature.
The current behavior remains unchanged.
Step 3: Prepare a device for in-gym signatures
For in-gym signatures, we recommend using a device such as a tablet. The admin configures the membership or service on the tablet and then hands it to the member to review and sign. Signing on a desktop/laptop is also possible, but the experience is less user-friendly.
Step 4: Ask FliiP to activate e-signature
After configuring the contract template and the Applicable contract setting, ask your CSM to activate e-signature for your gym.
Once activated:
Members will be asked to sign applicable contracts during the purchase flow.
Admins will be able to request signatures when assigning or selling memberships and services.
The available signing options will be presented in the relevant workflow.
Signing options
FLiiP supports three ways to handle contract signatures.
Sign Now (In-gym)
Use Sign Now when the member is signing immediately. If signing process happens in the gym, the admin should:
Configure a service/membership.
Agree to T&C
Give the tablet to the member.
Let the member consent to sign electronically, review and sign the contract.
Take the tablet back once the signing is complete.
Press “Assign contract”
If a waiver is attached to the membership or service, the member signs the contract and the waiver during the same signing process.
Sign Later
Use Sign Later when the member will complete the signature at a later time. The member can see the pending document in their account, can read it and sign it. The contract remains pending until the signature is completed or the admin records it as signed manually.
Mark as Signed
Use Mark as Signed when the member signs outside the online e-signature flow, for example on paper. When a member wants to sign a paper version, print the document, let the member sign it physically, then record the contract as signed manually in FLiiP. The gym should retain the manually signed document according to its own record-keeping process.
Contracts with an attached waiver
If a waiver is attached to a membership or service, the member signs both documents during the same signing process.
When the membership or service is sold or assigned:
The contract is generated.
The attached waiver is generated at the same time.
The member reviews and signs both documents together.
The member does not need to complete two separate signing processes.
Contracts with membership approval required
Requesting a membership during Sign-up process
If Approval required is set to Yes at the membership level, the membership is not purchased or activated immediately. Instead, a membership request is sent to the gym for approval. Because the membership has not yet been created, no contract is generated and there is no contract to sign during the sign-up process. As a result, the member is not asked to provide an e-signature at this stage.
Existing member requesting a membership
The gym owner receives the membership request and can leave it pending until the member is ready to complete the process. There are two possible scenarios:
The member signs in person: The member comes to the gym, provides the required documents and signs on-site.
The request is approved remotely: The admin opens the request and selects Confirm and sign later. Once the request is approved, the member receives an email with a signature request.
For the email signature request to be sent after approval, the “Contract approved - pending signature automation” must be enabled in the Automation list.
Configuration checklist
Before asking FliiP to activate e-signature, confirm that:
The [e-signature], [e-signature-checkbox], and [e-signature-date] tags are placed correctly in the Membership and Services contracts.
Applicable contract is set to Yes for the memberships and services that require a signature.
A gym device is available for in-gym signatures
Any required waiver is attached at the membership or service level.
